New TOC Feature: PTO tracking

A new feature of Time On Clock will be available shortly (version 3.0) to track Paid Time Off (PTO) for employees. PTO types can be defined for all categories for which you wish to provide as paid time. Some examples of PTO would be Vacation time, Sick time, and paid Holidays.

Optionally, PTO usage limits can be set per employee. When PTO accrual has reached a preset limit employees will no longer be able to claim PTO.

PTO time is added to the payroll report inline and employees can view their own PTO accrual through their “My Time Summary” report.

Hello,

Below are some recent screen shots of Gas Station Pro (GSP), with data from Main Street Citgo gas and service station. The number, type, and price/cost for each pump is customizable. Price and Cost updates take effect immediately and are reflected in the calculations. Here we have several of the reports available using Gas Station Pro. Please send us questions or comments.

Gas Station Pro - Daily Meter Report

The Daily Meter Report displays all gas sales. After each shift, the pump counters are entered into GSP. GSP then calculates, based on the current price and cost of gas, an estimated profit per pump. The Meter Report also compares the pump meters to the measured gas in the tanks for each gas type. Deliveries, putbacks (gas pumped as a test after a delivery), and TVA (Total Value Adjustment) are all incorporated. This gives a comprehensive view of your gas business on a day-to-day basis.

Gas Station Pro - Sales Summary Report

The Sales Summary Report reflects the sales totals from the register. Sale items can be grouped based on the type of item. For example, Service items, such as parts and labor, can be grouped together. Food items such as candy and soda, can be grouped as Food or Groceries. Also, if sale items have a sales tax percentage associated, those items can be grouped based on the tax since GSP calculates the tax for you. The Sales Summary Report also calculates meter sales and compares them to register sales for each type of gas. This can helps keep an accurate account of all gas pumped.

Gas Station Pro - Register Summary Report

The Register Report compares the sales totals from the Summary Report with the actual money (cash, checks, credit cards, etc.) counted at the register. Private account data can be added for cases such as financing, part delivery, etc. Charges, Payouts, and Accounts Receivable are all incorporated. Accounts can be pre-defined or created on the fly, for new accounts.

Gas Station Pro - Weekly Summary Report

The Weekly Summary Report is similar to the Register Summary, but gives a picture of where your business stands from week-to-week. With cost and profit estimates, you can see which parts of your gas station are performing. The default report is by week, but any custom dates may be entered.

Gas Station Pro - Weekly Bill Report

The Weekly Bill calculates the cost of gas, and the cost of credit cards to your business. This report is customizable with both costs and credits to submit to your gasoline distributer. The default report is by week, but any custom dates may be entered.

It is only natural when starting a business to think that the easiest thing to track employee hours are paper time sheets. Employee’s write their name, time in and time out and at the end of the week or pay period the sheets are collected by the manager or owner. The owner then examines and calculates the total hours worked for each employee, submits the hours to payroll and then stores the sheet somewhere in a filing cabinet. Simple and cheap, right?

While it is true that the initiation of the process is simple, and most employee’s will know how to perform the task without much training. The implementation of the paper time sheet is inefficient and time consuming for the business owner. Let’s examine some of the “hidden” expenses of paper time sheets:

Gasoline

One of the biggest expenses for any businesses these days is gasoline. Getting to and from a place of business often requires driving. Sometimes this can be combined with other necessary business tasks but what if you forget to pick up the time sheet? Or your business is open later, and your last employee must lock up when his shift is done? Do you go out late at night to get the time sheets? Or just wait until morning? Can it wait until morning?

If the average vehicle requires a fill up of $50 a week, and using Time On Clock can save you one day of driving, at a savings of $10 a week then at $20 a month for Time On Clock you will still be saving $20 a month.

Payroll Time

Tabulating payroll is both time consuming and stressful. Even using a spreadsheet or other application to enter the time sheet on a computer takes time. Why is data that has already been recorded, being done again? Typo’s are natural and frequent when transposing data also. Why not let your employees do their own data entry, but with even more assurances that the data is accurate and less prone to human error.

With Time On Clock, when it is time for payroll, the data is already entered and tabulated for you. Mistakes are highlighted for you and easy to spot and correct. Changes are logged automatically, providing important historical data.

Storage

Businesses keep all kinds of paper records. Filing can be a big job. It can have added cost of real estate and even a dedicated employee. Time sheets only add to the paper records already being saved and stored by your business. Moreover, without diligent effort and a good filing system it can be difficult to search.

Time On Clock provides built in search mechanisms to simply and easily find historical data. Reports can be printed on the spot when a hard copy is necessary.

Furthermore, Time On Clock does not lay claim to your data. It is not ours, it’s yours. We perform regular backups of all customer databases and if at any point your would like a copy of your businesses data, we will be happy to provide it, free of charge.

So it is easy to see why we here at Bluefire believe that you can actually save money by using Time On Clock. Isn’t it time your employee’s time sheet data was available whenever you needed it?

Hello,

Below are some recent screen shots of Time On Clock along with descriptions of how basic login and time entry. Click on the thumbnails below to see the full size image.

TOC Login screen shot

Each employee, manager, or payroll user will have a separate user name and password to access your company’s TOC website. Password strength requirements are configurable, although blank passwords are not currently allowed. Restrictions can be enforced on password length, upper/lower case requirements, special character requirements, and overall strength. It should be noted however, that no personal or confidential data (e.g. SSN, Maiden name, home address, …) is stored in TOC.

TOC Home Page w/all modules enabled.

The TOC employee home page brings all of the most immediately relevant information right to the employee’s attention. Current working status, new messages,, and upcoming work schedule are all displayed (when applicable modules are enabled). The above screen shot shows a home page with all modules (Project, Messenger, Scheduler) enabled. Modules can be enabled and disabled seamlessly, without any loss of data.

Employee’s can quickly punch in and out from the home page, simply by clicking on the On/Off Clock status link.

TOC time card page

The time card page displays the employee’s time entries for the current time card period. Time card periods are customizable to weekly, bi-weekly, semi-monthly, monthly and yearly periods with work weeks beginning on Sunday or Monday. Comments can be added to any time entry. Comments are free form text to provide additional information to management and/or payroll about a time entry. An employee might add a comment to a time entry, for instance, if they punched in late. The comment informs the employee’s manager that the time record should be altered to reflect actual time worked.

Only an employee’s manager (or payroll user) can change a time entry. An employee visible log is kept of changes to any time entry noting the time, person responsible, and history of the change. Comments cannot be altered by anyone, except the employee, and are also logged.

The time card summary is a consolidated view of a particular time card period showing the accumulated work time of the employee. Employees can only view the time card summary for themselves. Only managers can view a summary of all their employees’ time cards. Payroll users can view all employees’ time card summaries, for the purposes of doing the payroll.

The summary page also displays (if selected) the logged change history for any time entries. In the time card summary view, comments are displayed in line with the time entry as well.
